Nebula Ventures LLC

Nebula Ventures LLC ("Nebula Ventures", "we", "us") is a consulting and venture studio. We build automation, data and AI systems for clients, and we run our own small online products and experiments. This policy explains what personal information we handle, why, and the choices you have.

It covers:

• this website, nebulaventures.com;

• our consulting and delivery work for clients;

• our own products and experiments, unless a product has its own privacy policy (in which case that policy applies to it); and

• our internal tools, including our QuickBooks Online integration (see section 9).

We operate from the United States and work with clients around the world. We aim to handle personal information in line with the laws that apply to us and to the people we deal with, including, where relevant, the EU and UK GDPR, the Australian Privacy Principles, Singapore's PDPA and US state privacy laws.

1. Who we are and how to contact us

2. Information we collect

When you contact us or work with us: your name, email, phone, company, role, and whatever you tell us in messages, calls, meetings and documents.

When you visit this website: basic technical data such as IP address, browser and device type, pages viewed and referring site. We use privacy-friendly analytics; if we use cookies that aren't strictly necessary, we ask first where the law requires it.

When we deliver work for a client: we may access personal information held in the client's systems (for example CRM records, email, spreadsheets, accounting or advertising platforms) only as needed to do the work the client has asked for. In that role we act on the client's instructions as their service provider or "processor", and the client's own privacy policy governs that data.

Through our products and experiments: each product tells you what it collects at the point of collection and in its own policy.

We don't knowingly collect information from children under 16.

3. How we use it

• to respond to enquiries and provide our services;

• to run, secure and improve our website, products and internal systems;

• to send service-related messages (and, only with your agreement, occasional updates you can unsubscribe from at any time);

• to keep business, accounting and tax records; and

• to meet legal obligations and protect our rights.

Where the GDPR applies, our legal bases are: performing a contract with you, our legitimate interests in running and growing our business (balanced against your rights), your consent where we ask for it, and legal obligations.

4. AI and automation

We use automation and AI tools (including large language models) in our own operations and in systems we build for clients. When client or personal data passes through these tools, we use reputable providers under business terms that do not permit them to train their models on that data, limit what we send to what's needed, and keep a human in the loop for client-facing decisions. We do not make decisions about you that have legal or similarly significant effects based solely on automated processing.

5. Who we share it with

We do not sell personal information or share it for cross-context behavioural advertising.

We share it only:

• with service providers that help us operate (for example hosting, email, file storage, scheduling, payments, accounting and AI providers), under contracts that require them to protect it and use it only for us;

• with collaborators or subcontractors working with us on your project, under confidentiality obligations;

• where you ask us to, or where a product clearly tells you it will pass your details to a named type of business (for example a referral); and

• where required by law, or in connection with a business sale or reorganisation.

6. International transfers

We and many of our providers are based in the United States, and our team works across several countries. Your information may therefore be processed outside your country. Where the law requires, we use appropriate safeguards (such as Standard Contractual Clauses) for these transfers.

7. Retention and security

We keep personal information only as long as needed for the purposes above: typically for the length of an engagement plus up to 7 years for business and tax records, and for shorter periods for enquiries that don't lead to work. We use reasonable technical and organisational safeguards, including access controls, encryption in transit, least-privilege access to client systems and secure credential storage. No system is perfectly secure; if a breach affects you, we'll notify you where required.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain uses, to withdraw consent, and to opt out of any sale or sharing (we don't do either). To make a request, email privacy@nebulaventures.com. We'll respond within 30 days (or the period your law sets) and won't treat you differently for exercising your rights. You can also complain to your local data protection authority.

9. QuickBooks Online integration

Nebula Ventures Accounting is a private, internal application that Nebula Ventures LLC uses only for its own bookkeeping in QuickBooks Online. It is not offered to other businesses.

• What it accesses: with authorisation through Intuit's QuickBooks Online API, the accounting records of Nebula Ventures LLC's own QuickBooks company, which may include the chart of accounts, bank and credit-card transactions, invoices, bills, vendors, customers and financial reports.

• How it's used: only for Nebula Ventures LLC's own bookkeeping: categorising transactions, producing financial reports and preparing internal tax estimates.

• Sharing: we do not sell, rent, trade or otherwise share accounting data accessed through the app with any third party.

• Storage and security: accessed data and OAuth credentials (access and refresh tokens) are stored on systems controlled by Nebula Ventures LLC and protected by operating-system access controls.

• Retention: kept only as long as needed for bookkeeping and tax purposes, and may be deleted at any time.

• Use of QuickBooks data is also subject to Intuit's Terms of Service and Intuit's Privacy Statement.

10. Changes

We'll update this policy as our work changes and post the new version here with a new "last updated" date. For significant changes we'll take reasonable steps to let affected clients know.
